What Affects Custom Patch Cost? A Guide to Comparing Quotes

PAIPAI PATCH Β· Buyer guidance

Custom patch cost depends on the specification being quoted. A price for a small sew-on emblem cannot be compared directly with a larger, densely stitched design supplied with hook-and-loop backing and individual retail packing. Start by making the specification consistent, then compare price, sample requirements and delivery terms.

Need a quote for your own specification?

Compare like-for-like artwork, size, quantity, backing and packing. A generic patch price cannot establish the cost of your design; send these details for a project quotation.

This guide explains quote inputs. It is not a PAIPAI price list, minimum order policy or delivery promise; those details need confirmation in your project quotation.

Size and artwork must be considered together

A larger finished area can change material use and the amount of work required. For embroidery, stitch coverage and the design's construction also matter: two patches with the same outer dimensions may not have the same stitched area. Ask which areas will show base fabric and which will be filled with thread.

Fine lettering, tight gaps and complex shapes may require artwork adjustments and sample review. Do not compare a quotation based on a simplified logo with one intended to retain every detail. Ask both suppliers to identify proposed changes before comparing the totals.

Separate quantity per design from total quantity

State the number of pieces for each artwork and colourway. For example, 600 pieces of one design and 600 pieces split across six designs describe different production briefs. This is an example of how to describe an order, not a PAIPAI MOQ or quantity discount.

Ask for a breakdown if you are comparing several quantities. Keep the size, backing, colour specification and packing the same across those quantities. Confirm whether any setup or sampling charge is separate and what the quoted scope includes; do not assume those services are free.

Backing and packing are part of the product

For hook-and-loop, specify hook only or a matched hook-and-loop pair. For heat application, identify the actual garment material and ask how compatibility will be checked. For sew-on construction, confirm the edge and available stitching area. Use the patch backing guide to prepare these questions.

Packing can also change the supplied scope. A bulk bag, an individually bagged patch and a patch attached to a printed retail card are different deliverables. Record pieces per bag, SKU identification and any barcode or card requirements. Request confirmation of additional packing work before approving the quote.

Compare the total scope, not only the unit price

Before accepting a quotation, check:

A required arrival date is different from a production completion date. Give the destination and ask the supplier to distinguish sample review, production, shipment preparation and transport. PAIPAI's actual schedule must be agreed for your project.

A brief you can use for a quote

Send the product type, artwork or reference, finished width Γ— height, pieces per design, intended garment, preferred backing, packing requirement and delivery destination. If one item is undecided, describe the use case and ask for a recommendation rather than filling in an unsupported specification.

Have a design and target quantity? Share the same specification for each option you want compared. We can review the brief before a project quotation is confirmed. Request a custom patch quote β†’
